Facilities & Asset Management
A well maintained property will preserve its marketing appeal and has its value sustained or enhanced, providing optimum return for the owner while ensuring the tenant’s needs are well taken care of.
Our property management team is highly experienced in all aspects of property or facilities management, i.e. all the wide-ranging non-core activities of organisations such as building maintenance, mechanical and electrical maintenance, cleaning, landscaping, health and safety and many others. We work closely with Clients or Management Corporations preparing strategic facilities management plans for the long term operation of these services, even while design and construction are taking place, or in an existing single site or portfolio of buildings.
We are familiar with negotiating lease renewals, refurbishment, assessment advice, physical maintenance, building automation and even total redevelopment.

In providing professional property management services, we ensure that both efficiency and economy are accomplished and the client's investment value is always maintained at the optimum level. The six awards that we received for the properties managed by us in The Edge Best Managed Properties Award 2017 is a recognition of the hard work put in by our team to assist the JMBs / MCs to keep their properties in top condition. Moving along with the times, we have also adopted a mobile based app platform to enable owners to keep track of their payments, booking of facilities, public announcements and other useful functions.
Scope of Work
- Conduct inspection of the buildings and facilities for defects and non-conformity with the Sales & Purchase Agreement specifications.
- Preparation of building condition report to recommend repairs and replacements where defects are observed.
- Collate and compile copy of title(s), as-built plans, certificate of fitness, operation manuals, third party contracts and licenses.
- Formulate property management information monitoring and reporting system.
- Establish management and control system for the property.
- Assess inventory of stocks.
- Monitor planned maintenance in respect of all electrical and mechanical equipment.
- Conduct regular and scheduled inspections on the physical maintenance aspect of the property and submit recommendations, where appropriate.
- Engage, instruct and supervise contractors or repairers to undertake building maintenance and repair work.
- Monitor day-to-day operations in respect of security, cleaning, rubbish collection, housekeeping, etc.
- Administer and supervise the appointed service contractors, cleaners, security guards and other building staff to ensure the satisfactory performance of their work.
- Attend to occupants' inquiries and complaints.
- Act promptly in issuing reminders/notices of breach or non-compliance of any regulations, house rules or notices of repairs if and when necessary.
- Advise and assist in the procurement of relevant policies of insurance (Fire and Public Liability).
- Monitor and optimise operation costs.
- Ensure fittings and M&E installations in good working order.
- Prepare comprehensive scheduled work for technical staff.
- Formulate and implement security and emergency management policies.
- Formulate and implement energy conservation policies.
- Maintain proper records of the complete set of building plans and operations manuals for all electrical and mechanical systems.
- Maintain occupancy/tenancy records.
- Routine checking of services (mechanical and electrical systems, pest control, cleaning, security, etc.).
- Monitor and coordinate work functions of service contractors.
- Evaluate service contractor performance.
- Administer tender procedures and contract.
- Establish management information and accounting system for financial accounting, cost and budgetary control, internal control, cash flow control and credit control.
- Daily finance operations upkeep including issuance of invoices and statements, collections, payments and banking matters.
- Record keeping and updating of accounting for monthly management report and yearly financial statement.
- Monthly analysis of budget variances.
- Cost and budgetary control report.
- Ensure internal control system to avoid any irregularities and misappropriation of funds.
- Implementation of cash flow measures.
- Provide secretarial services for Annual General Meetings.
- Submit building audit report to Management Council.
- Scheduled reporting of property improvement and recommendation on upgrading works.
- Conduct monthly management meetings with the client for constant improvement in the service level.
- Ensure publication of comprehensive accounts & minutes of Management Council Meeting to the residents.
- Closely monitor the outstanding amount of arrears for each unit.
- Systematically issue reminders and notices to defaulters.
- Take action against defaulters for debt recovery.
- Advice on the roles and functions of Joint Management Body and Management Corporation.
- Preparation of Management By-Laws.
- Ensure compliance of relevance laws.
